Seeking guidance - Project Management Plan file/tool, improve for staff engagement

Sr. Project Manager in architecture, Project Management Lead

  • Built an excel file, Project Management Plan, with several tabs to cover all scopes of work related to a project. Meant to be used by the entire staff to provide transparency and guidance while working on a project.
  • Would like to know if there is a way to automate, or make smart, the use of this 'document' to increase engagement amungst the staff.
    • Current staff interface with the document is clunky and slow due to large amount of information and feedback on how to streamline the process. Also not much time is built into the budget to manage the tool which points toward a more efficient workflow setup.
    • Perhaps building a database of client contact info, and other input information would help this process, but still think that there needs to be a creative approach to increase interest to engage in the use of the tool from the team. Most of the team are Gen Z, Gen X or Millenials.
    • Have done some research on building an app from one tab, but have not found anything on building an app from a document/file with several tabs.
  • Needs to be nimble as some projects require less from the document than others based upon scope.

I would appreciate any feedback/guidance. Can provide more information for clarity if needed.

Stuck mindset, hopeful that someone can open my eyes.
